Using NC ESA+ Funds at Mind Mosaic Psychology

Helpful Links:

At Mind Mosaic Psychology, we believe every child deserves timely access to the support they need to thrive. We are a registered provider with the North Carolina ESA+ (Education Student Accounts) program. If you have a ClassWallet account, you can use those funds directly with us for psychological testing and evaluations.

Because the state has very specific rules about how and when these funds can be used, we’ve laid out this guide to help you decide the best next step for your child.

What is the NC ESA+ Grant?

The ESA+ program is managed by the NC State Education Assistance Authority (NCSEAA). ESA+ provides funding to families of students with disabilities for qualified educational expenses.

These funds can be used for tuition, tutoring, and—most importantly—comprehensive psychological evaluations and therapy.

Working with Mind Mosaic

Once your child has been awarded an ESA+ grant, we can help with:

  • Comprehensive Evaluations: Use your Class Wallet funds for a deep-dive assessment to understand your child’s learning profile, ADHD, autism, or emotional needs.

  • Continuing Eligibility Paperwork: If your child is already in the program we can perform the required 3-year re-evaluation and sign the re-eligibility form required to keep your funding active.

  • Therapeutic Services: Specialized support tailored to your child’s unique needs.

When to Work with Your Local Public School

You will need to coordinate with your local school district in the following scenarios:

  • Initial Applications: Private providers cannot establish the initial eligibility for a student to receive the scholarship. You must have a current Eligibility Determination document issued by an NC Public School (or DoD school in NC) to start your ESA+ account.

  • While you can use your Class Wallet funds to cover evaluations at Mind Mosaic, there are certain situations where we are not able to sign the required paperwork for continued funding. Even if you have previously received a scholarship award, you will need an Eligibility Determination document from a public school when:

    • Developmental Delay (DD) Category: If your child is currently identified under the DD category and is approaching age 8.

    • Changing a Disability Category: If you feel that a different eligibility category more accurately describes your child’s needs, this must be done through a public school eligibility meeting.

Is This the Right Time for a Private Evaluation?

✅ Yes, let's move forward if:

  • You already have an active ESA+ ClassWallet account.

  • You have a school eligibility form dated within the last 3 years.

  • You want a neuro-affirming evaluation to guide your child’s private or home education.

⚠️ Not quite yet if:

  • You are trying to qualify for the scholarship for the first time (start with your local school).

  • Your child’s only current diagnosis is from a pediatrician or therapist (the state requires a public school form for ESA+).

Why Choose Mind Mosaic?

Our team consists of former school psychologists, so we understand the state’s requirements inside and out. While public schools provide evaluations at no cost, families often choose Mind Mosaic for three primary reasons:

  • Speed & Deadlines: School districts are often backlogged. We provide a quicker turnaround to ensure your funding remains uninterrupted.

  • Comprehensive Insight: Our evaluations often go deeper than school-based assessments, focusing on the "whole child" rather than just classroom performance.

  • Collaborative Approach: You are a partner in our process. We provide one-on-one consultations to ensure you fully understand the results and how to use them to advocate for your child.

When you use your ESA+ funds with us, you aren’t just checking a box for a renewal; you’re getting a strengths-based, actionable plan designed to help your child thrive in their specific learning environment.

  • Yes! North Carolina’s ESA+ program specifically allows families to use their account funds for "required educational psychological and educational testing." Choosing a private provider like Mind Mosaic Psychology allows you to bypass long public school waitlists and receive a more comprehensive, clinical perspective on your child’s learning profile. We are an approved provider and can accept payments directly through the ClassWallet portal for these services.

  • Paying for services is a straightforward process. Once you have an invoice from us, you log into your ClassWallet account, select Mind Mosaic Psychology as your service provider, and upload the invoice for payment. Because we are an approved vendor, the funds are sent directly to us, reducing your out-of-pocket burden. We recommend notifying our intake team during your initial call so we can ensure your documentation meets all NCSEAA requirements for a smooth approval.

  • The primary benefit is efficiency and specialized care. Public school districts often have a 90-day timeline for evaluations, which can cause families to miss the state’s June 30th renewal deadline. At Mind Mosaic, we specialize in ESA+ redetermination evaluations, often completing the process through a record review and virtual consultation. This ensures your child remains eligible for funding without the stress of navigating the school system's bureaucracy or waiting months for an appointment.
